Hi Howard,

We have tried to go as paperless as possible, too.  We scan our files and save them - the trick to be able to reference them is to "name" them when you save them.  We name our files:  LastName FirstName... if a former customer contacts us, we pull their old information forward and attach it to the new job, then when we scan the new job (under the same name) it includes all of the customer's past info.

We find it very helpful to keep the old measurements and notes, as many of our customers go back years, and even 2 or 3 decades. There are times that we redress the same windows we have previously done, or measure windows during the first stage of a project and wait years until the customer does that room.

If you want to keep every job separate, even those for the same customer, just name the file with the date of the job included, ex: LastName FirstName 1-1-11, or with a description, ex: LastName FirstName WoodBlindsLR.

As long as you are uniform in the way you name the files, you should always be able to find them easily.

Happy 2011 Everyone!  
We have been using Solatech software to run our order entry since 2003. 
We recently started to go paperless.  Solatech has agreements with some fabricators that allow you to send an order direct from the software to the fabricator without printing or faxing a single page.  For those fabricators that do not have this arrangement with Solatech (like Hunter Douglas), we use their online ordering, which again saves us from printing and faxing orders.  Solatech has the ability to attach image files (jpg or
pdf) to each order.  So, for the paper that is generated for an order, and once the order is complete and ready to be closed out, we scan all the documents that go with that order (field measure sheet, clients signed delivery tickets, purchase orders from clients, etc.) into one pdf file, and then attach that pdf file to the order in Solatech.  Any documents that have personal info (like credit card info) gets shredded and all the paper then goes to recycling.  Going green one page at a time :)  PIC is pretty expensive, I found Solatech to much more affordable.  We have 10 employees and it works well.
